    Reports To:  President/CEO
    Location: Portland Chamber of Commerce office, with some local travel to membership businesses & event venues
    Employment Type:  Part-time, minimum of 14 hours / week - $15 an hour

    Position Overview
    The Billing & Membership Specialist plays a key role in our internal operations by managing membership billing, renewals, and account support. This individual ensures accurate financial tracking, exceptional member service, and the smooth administration of our growing membership base.
    You will be the go-to person for member account questions, payment processing, and database integrity—helping us serve over 400 businesses & organizations.

    Primary Responsibilities
    Membership Support
    • Process new member applications and facilitate onboarding.
    • Maintain accurate and up-to-date records in our membership CRM system
    • Prepare and manage renewal communications and invoicing.
     
    Billing & Financial Administration
    • Generate and issue invoices for dues, sponsorships, and events.
    • Track payments, process transactions, and reconcile accounts.
    • Assist with the preparation of financial documentation for grants or funding reports.
    Member Relations & Service
    • Provide timely, courteous, and solution-oriented responses to member billing inquiries.
    • Troubleshoot issues related to payments, invoices, and account status.
    • Work closely with the membership and events teams to support cross-functional initiatives.
    Administrative Functions
    • Maintain documentation for billing processes.
    • Support chamber-wide projects such as membership drives, special programs, and events.
    • Ability to work special events as needed

    Qualifications
    • Associate’s or Bachelor’s degree in Business, Accounting, or a related field preferred.
    • 2+ years of experience in billing, membership services, finance, or administrative support.
    • Familiarity with membership management software (e.g., GrowthZone, ChamberMaster, Salesforce) is a plus.
    • Familiarity with Quickbooks software is a plus.
    • Strong analytical and organizational skills with attention to detail.
    • Excellent written and verbal communication skills.
    • Ability to work independently while thriving in a team-oriented environment.
